WELCOME TO ADMINISTRATION & MANAGEMENT

The Administrative Intern will serve in the office,assisting with data entry, office systems, B2B communications, customer service, human resources and all tasked required to meet the needs of the company. The intern will serve in a capacity that best fosters skill-development, utilizes the intern’s strengths brought forth, and mutually benefits all parties.

 

JOB PURPOSE AND SCOPE

The Administrative Intern  reports to Shey Morton, B911 Director & Communication Specialist, for all job functions. The intern is expected to report to work (online ) per a schedule as agreed upon by Shey Morton and the intern. If a situation precludes reporting to work, the intern will call Shey prior to the assigned work time, with as much notice as possible, and daily as long as the work commitment is not able to be met. The standard work week varies. All Interns will be able to reach Director or Staff via email 24 Hours a day.

ESSENTIAL FUNCTIONS​

  • Handling office tasks, such as filing, generating reports and presentations, data entry, setting up for meetings, and reordering supplies.

  • Providing real-time scheduling support by booking appointments and preventing conflicts.

  • Screening phone calls and routing callers to the appropriate party.

  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.

  • Greet and assist visitors.

  • Maintain polite and professional communication via phone, e-mail, and mail.

  • Recruit, Schedule and Orientate New Hires.

  • Represent Organization at networking events.

  • Anticipate the needs of others in order to ensure their seamless and positive experience.

 

REQUIREMENTS

  • Proven experience as an administrative assistant, virtual assistant or office admin assistant

  • Knowledge of office management systems and procedures

  • Working knowledge of office equipment, like printers and fax machines

  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

  • Excellent time management skills and the ability to prioritize work

  • Attention to detail and problem solving skills

  • Excellent written and verbal communication skills

  • Strong organizational skills with the ability to multi-task

  • High School degree-GED; additional qualification as an Administrative assistant or Secretary will be a plus

ATTENDANCE

Interns are expected to clock in and out as scheduled. Late Arrivals and Call Outs will affect your bonuses. 

 

MEETINGS

Virtual Interns will have MANDATORY Meeting once a week with Supervisor. Via Webcam
